The Abstrakt sales development process

A proven process. Real people. Qualified opportunities.

Every qualified meeting starts long before it reaches your calendar, with the list, the research, the calls and the follow-up behind it, and a review before it is sent to you.

The six stages, in motion

How Abstrakt turns prospects into qualified sales opportunities.

Short answer: we research the market, reach the right accounts on several channels, confirm who decides, qualify interest in a live conversation, nurture everyone who is not ready yet and report all of it. Watch a demo territory move through the six stages. Choose a market and your industry to run it there, or tap a stage to jump straight to it.

Illustrative. Each dot stands for businesses in the territory, not a client. The dial counter runs at the sales center average of 125 dials per appointment for all industries.
  1. Step 01

    Build your target market

Your target market, built from what has already converted in your industry.

    178,300

companies in the Dallas-Fort Worth, TX demo territory, with 812,400 business contacts. The filter keeps the ones that fit your ideal customer profile.

  2. Step 02

    Launch your marketing strategy

Phone, email, LinkedIn and direct mail, run as one cadence.

    Up to 4

channels run as one cadence: phone, personalized email, LinkedIn and direct mail. The phone does the heavy lifting; the mix is set for your program.

  3. Step 03

    Qualify target companies and decision-makers

The person who owns the decision, confirmed by phone.

    By phone

SDRs confirm the decision-maker, direct line and email by calling the company. Records that do not verify come off the list.

  4. Step 04

    Decision-maker introduction

A live conversation that qualifies fit, authority and timing, then books the meeting.

    125

dials per appointment set on average for all industries, across 3,140,107 calls and 25,151 appointments in our sales center data. Every booked meeting is reviewed on the 25-point 5 Star Scorecard before delivery.

  5. Step 05

    Nurture qualified companies

Every "not now" stays warm by phone, email and the other channels in your program until the buying window opens.

    ~2 yrs

of nurture before Mechanical Service & Systems signed a $595,000 HVAC agreement (case study, closed 2022). How often and how long a "not now" is worked is set for each program.

  6. Step 06

    New sales appointments

The meeting on your calendar, and every call, meeting and result on any device.

    100,000+

meetings booked a year, company-wide. On your program, every call, meeting and recording sits in the Results Portal, reviewed with you on the schedule agreed for your program.

Sources: territory counts from the Abstrakt Intelligence demo (Dallas-Fort Worth, TX, captured 2026-10-09; demo data, not a client). Stage by stage

How our B2B appointment setting process works, stage by stage

Our people, technology, and operating process work together to consistently identify the right prospects, develop meaningful sales conversations, and deliver qualified appointments to our clients' sales teams. Open a stage to see who does what, with which tools, and what you get.

  1. Stage 01 · Identification

    Build your target market

Your target market, built from what has already converted in your industry.
    What happens
We define your ideal customer profile with you, size your territory and build the target list from the segments and titles that have already produced meetings in your industry. You approve the list before launch.
    Who does it
Your partner success manager, with content and data support building and cleaning the list.
    Technology behind it
Abstrakt Intelligence: territory sizing, playbook criteria and a review of every prospect before the list is assigned (14M+ U.S. commercial buildings mapped).
    What the prospect experiences
Nothing yet. No one is contacted until you approve the list.
    What you receive
An ideal customer profile and target list you sign off on. Your territory to yourself: one client per trade per territory.
    How quality is measured
Records are reviewed before assignment, and records that do not verify are fixed or removed.
  2. Stage 02 · Introduction

    Launch your marketing strategy

Phone, email, LinkedIn and direct mail, run as one cadence.
    What happens
We run phone, personalized email, LinkedIn and direct mail as one coordinated cadence, so your name is familiar by the time the SDR calls. The phone does the heavy lifting. The channel mix and touch pattern are agreed during program design.
    Who does it
Your primary BDR and the BDR team, with content support writing the email and direct mail.
    Technology behind it
The Abstrakt Intelligence dialer, the talk track written for your program and the omni-channel follow-up queue.
    What the prospect experiences
A relevant reason to talk, from a company name they have already seen.
    What you receive
Messaging you approve before it goes out, and every touch logged against the account.
    How quality is measured
Every call is recorded, and calls are reviewed and coached on the floor.
  3. Stage 03 · Identification

    Qualify target companies and decision-makers

The person who owns the decision, confirmed by phone.
    What happens
Before an account enters the sales cadence, SDRs call the company to confirm the role, direct line and email of the person who actually owns the decision. How many attempts that takes varies by account.
    Who does it
The BDR team, with data support correcting the record.
    Technology behind it
Contact and account records in Abstrakt Intelligence, updated as calls confirm or correct them.
    What the prospect experiences
A short, courteous call to the front desk or a colleague.
    What you receive
Correct names, titles and direct lines, confirmed by phone. Your reps never inherit a recycled list.
    How quality is measured
The Right Contact check: records that do not verify come out of the cadence.
  4. Stage 04 · Qualification and appointment delivery

    Decision-maker introduction

A live conversation that qualifies fit, authority and timing, then books the meeting.
    What happens
The SDR introduces your company, asks the questions your rep would otherwise spend the first meeting on, using qualification criteria agreed with you, and asks for the meeting. A meeting books only when the prospect clears them.
    Who does it
Your primary BDR, certified on your talk track before the first dial. Every rep completes two weeks of extensive training before taking a call on the floor.
    Technology behind it
The ENGAGE call structure, your talk track in Abstrakt Intelligence and a recording of every call.
    What the prospect experiences
A conversation about their situation, and a specific time to meet if there is a fit.
    What you receive
A confirmed meeting with the prospect information and notes from the call (see what happens after booking, below).
    How quality is measured
Right Company, Right Contact, Right Timing, and a review on the 25-point 5 Star Scorecard by quality control before the meeting reaches you.
  5. Stage 05 · Relationship development

    Nurture qualified companies

Every "not now" stays warm by phone, email and the other channels in your program until the buying window opens.
    What happens
Most decision-makers you reach are not buying this month. Every "not now" is logged with the reason and the date the prospect gave and stays in a nurture cadence of calls and follow-up. How often, on which channels and for how long is agreed during program design.
    Who does it
The BDR team working your program.
    Technology behind it
Nurture and recovery queues in Abstrakt Intelligence, which hold the date, the reason and what was said.
    What the prospect experiences
A call back on the date they gave, and follow-up that is about their situation rather than "just checking in".
    What you receive
A bench of qualified "not now" prospects that keeps producing meetings from conversations already paid for.
    How quality is measured
Callbacks kept on the date the prospect gave. Mechanical Service & Systems signed a $595,000 agreement after about two years of nurture on one account.
  6. Stage 06 · Appointment delivery and reporting

    New sales appointments

The meeting on your calendar, and every call, meeting and result on any device.
    What happens
When a prospect agrees to meet, you get the appointment by email and text, the prospect gets a calendar invite, and both sides get reminders. The Results Portal shows activity, conversations, booked meetings and pipeline by stage, with the actual calls made on your account. We review results with you on the schedule agreed for your program and change what needs changing: targets, messaging, qualifiers.
    Who does it
Your partner success manager, who owns the account from launch on.
    Technology behind it
The Results Portal: results dashboards, lead management, My Voice call recordings and survey results. It works with your CRM.
    What the prospect experiences
A calendar invite and reminders for a meeting they agreed to for a real reason.
    What you receive
Portal access any time, results reviews with the team on your account, and leads in your CRM or the portal.
    How quality is measured
Results tracked from activity to conversations, meetings set, meetings held and opportunities.

Illustrative Qualification Call: Scripted Demonstration

Hear what a qualified sales conversation sounds like.

Pick an industry and play the call, or read the transcript. Listen for the reason to talk, the pushback, the qualifying questions and the ask for a specific time.

This is not a real client call. It is a scripted demonstration written from our talk tracks to show the general structure of a qualifying conversation. The voices are AI-generated, and the names and details are samples. Where a recording is not ready, the transcript is shown on its own.

Voice recording for this call is on the way. Read along below.
  1. OpenerSDRHi Dana, this is Chris with Northline Mechanical on a recorded line. I know I'm catching you in the middle of the day, so I'll keep this short. How are you today?
  2. ProspectAlright. What can I do for you?
  3. Reason for the callSDRThe reason for my call, we service commercial HVAC across the metro, and your building came up as about 40,000 square feet of conditioned space with the maintenance agreement due for review around the first of the year. I wanted to see how maintenance and repairs are being handled right now.
  4. PushbackProspectWe already have an HVAC company.
  5. Feel, felt, foundSDRI understand. A lot of the people I talk to felt the same way at first, and what they found is that a second look cost them nothing. When your current vendor comes out for a repair, that covers the repair. Ours is a second document on the whole system at no cost, and if they've got everything handled it will say so.
  6. ProspectOkay, that makes sense.
  7. QualifySDRTwo quick things so I send the right technician out. Is the building at about 40,000 square feet of conditioned space, and are you the one who signs off on mechanical work, or does that go somewhere else?
  8. ProspectThat's about right. Most of the units went in around twenty twelve. And mechanical work comes to me.
  9. Decision-making questionSDRBesides you, who else is usually involved when a decision like this gets made?
  10. ProspectOur controller sees the number. But I make the decision.
  11. TimelineSDRAnd when are you looking to have this sorted out?
  12. ProspectProbably by the end of the year, before it rolls over.
  13. DifferentiatorSDRWhat we do differently is the inspection itself. We open up every unit, document age and condition, and you get the written report at no charge either way. And because every visit is logged against the equipment, it keeps your manufacturer warranty intact.
  14. ProspectThat would actually help. I don't have a clean list of what's up there.
  15. Consideration questionSDRIf what we show you makes sense, is Northline Mechanical a company you'd consider working with down the road?
  16. ProspectYeah, I'd consider it.
  17. Close for the meetingSDRLet's put it on the calendar. I have Tuesday the 15th at 10, or Thursday the 17th at 2. Which is better? I'll send the invite while we're on the line, and I'll add Warren Doyle's mobile to it.
  18. Meeting setProspectTuesday at ten.
  19. Recap the agendaSDRGreat. So that's Tuesday the 15th at 10 o'clock, in person at your building, and we'll keep it to thirty minutes. Warren Doyle, our project manager, will walk the equipment with you, document its condition and age, and leave you the written report. When he gets there, where should he check in?
  20. ProspectLoading dock side. Have them call me from the lot and I'll come down.
  21. Confirm detailsSDRLet me confirm your details: your title, the best email for the invite, and that we're meeting at your building address.
  22. ProspectFacilities manager. Email's dana dot ellis at our company dot com. And yes, main building.
  23. Invite sentSDRPerfect. I'm sending the invite now. Could you accept it when it comes through, so the time is held? Thanks, Dana. Warren will see you Tuesday.

Dramatized example written from our talk tracks and voiced by AI. Names and figures are samples, not a recording of a real call. Grade it on our 5 Star Scorecard.

About 125 dials per appointment set, on average, across 3,140,107 calls in our own sales center. It swings widely by industry, which is why programs are built around persistence, not a handful of calls.

What makes an appointment qualified

A meeting isn't valuable just because it's on the calendar.

Seven different things get called "a lead". We book the fourth: a qualified appointment, defined with you before launch. Everything after it depends on your team, so we track it separately.

  1. Prospect contactedA dial, email, LinkedIn touch or direct mail piece reached the account.
    Abstrakt
  2. Meaningful conversationA live conversation with the right person about their situation.
    Abstrakt
  3. Interested prospectThey see a reason to talk, but may not be ready. Not yet a meeting; often a nurture prospect.
    Abstrakt
  4. Qualified appointmentA confirmed meeting that clears the qualification criteria agreed with you. This is what we book.
    Abstrakt
  5. Completed meetingYour rep and the prospect actually meet. Set is not the same as held.

  6. Sales opportunityYour team confirms a real project or need worth pursuing.

  7. Closed customerYour sales process wins the work.

Qualification criteria, agreed with you

Before launch we agree what a qualified appointment means for your business. Typical criteria:

  • Company fit
  • Decision-maker or influencer
  • Need
  • Interest
  • Timing
  • Geography
  • Service requirements
  • Confirmation

The criteria vary by client and are written into your program. See the scorecard and qualification detail →

FAQs about the B2B appointment setting process

How does B2B appointment setting work?

A team of sales development reps researches your target market, reaches the right accounts by phone and other channels, confirms who makes the decision, qualifies interest in a live conversation and books a meeting with your salesperson. Prospects who are not ready are nurtured, and everything is reported back to you.

What are the stages of an outsourced BDR process?

At Abstrakt there are six: build your target market, launch your marketing strategy, qualify target companies and decision-makers, decision-maker introduction, nurture qualified companies, and new sales appointments, with every result in the Results Portal.

How are target accounts identified?

We define your ideal customer profile with you, then build the list in Abstrakt Intelligence from the segments and titles that have already produced meetings in your industry. You approve the list before anyone is contacted, and SDRs confirm the decision-maker by phone before an account enters the cadence.

How many outreach attempts does it take to book a meeting?

It varies by program, industry, offer and market, and the touch pattern is agreed during program design. For context, across 3,140,107 prospecting calls in our sales center data (Abstrakt sales center, Performance Intelligence, cumulative history through October 2026) it took 125 dials per appointment set on average, from 78 in fire protection to 169 in LED Lighting. See the benchmarks by industry.

What is prospect nurturing?

Staying in touch with qualified prospects who are not ready to meet yet. Each "not now" is logged with the reason and the date they gave, and the SDR follows up by phone and other channels until the buying window opens. How often and for how long is set for each program.

What is a qualified appointment?

A confirmed meeting with the right person at a company that fits, with a stated need or timing, that clears the qualification criteria agreed with you before launch. Criteria vary by client. A meeting on the calendar is not the same as a meeting held, a sales opportunity or a closed customer.

How are appointments checked for quality?

Quality control reviews every booked meeting against the call on the 25-point 5 Star Scorecard before it reaches you. The 5 Star Quality Process page covers the scorecard and disqualification rules in detail. The 5 Star Quality Process.

What information does my team receive with a booked meeting?

The appointment by email and text with a meeting brief: the date and time, the company, the prospect's name and title, contact details, the notes from the qualifying conversation and why they agreed to meet. The call recording and the meeting record sit in the Results Portal. Exact fields depend on your program.

What do typical appointment setting benchmarks look like?

In our sales center data, 3,140,107 calls produced 25,151 appointments set across 15 commercial service verticals, about 125 dials per appointment. These are historical averages, not a forecast for any single program.

How long does it take to launch an appointment setting program?

Month one covers onboarding, targeting, list approval and rep training and certification, then outreach goes live. Every rep completes two weeks of training before taking a call and is certified on your program before representing you.

How are appointment setting results measured?

In stages: activity, conversations, appointments set, meetings held, opportunities and closed business. Activity through booked meetings shows in the Results Portal, and meetings held are tracked as opportunities. What happens after the meeting depends on your sales process, so we ask for your feedback on each one.

What happens when a prospect does not respond?

The account stays in the outreach cadence across channels for the number of attempts agreed for your program. If the contact never verifies, the record is corrected or removed. If they respond but are not ready, they move into nurture with a date attached.

How does an outsourced team coordinate with my sales team?

Your partner success manager owns the account. You approve the target list and messaging, receive each appointment with a brief, see everything in the Results Portal and review results with the team on a schedule set for your program. Your feedback on each meeting goes back into targeting and qualification.

What guarantees can an appointment setting provider offer?

Get any commitment in the written agreement, with a strict definition of a qualified appointment behind it. We set program goals, qualification standards and reporting with each client and review execution against the commitments in their agreement. No provider can promise revenue or identical results for every program.

Will you run the same program for my competitor?

No. We work with one client per trade per territory, so the SDRs calling your market are not booking meetings for a direct competitor in it.

See what a proven sales development process could do for your business.

Let's discuss your target market, sales goals, and what it would take to build a consistent pipeline of qualified opportunities.
